The Flight Before Christmas

 THE FLIGHT BEFORE CHRISTMAS EXPERIENCE ONBOARD NEGUS 747 TERMS AND CONDITIONS 

The below terms are in addition to any other terms shown on the Event website. 

The Organisers advise that due to the nature of the aircraft, access is limited to a set of stairs approximately 2 stories high, where guests with mobility issues may find it difficult to access. Unfortunately, wheelchair and pushchair access is not possible. All guests enter at their own risk and are advised to wear suitable footwear and clothing. High heels are not permitted, neither are pushchairs or other bulky items. Limited pushchair parking will be provided, and patrons may use this at their own risk. 


Online Ticket Purchases 

All ticket sales are final. Once purchased, tickets cannot be transferred, exchanged, refunded or returned. Tickets can be purchased via the link on our website. The ticket purchaser is responsible for ordering to ensure timely receipt of their ticket. Customers are advised to check their purchase upon receipt. It is the responsibility of the customer to inform the Event Organiser of any change of address, contact phone number or email address, both before and after receipt of the goods. Please note that our preferred method of contact for customers ordering online is by email, so care should be taken to provide a current, valid email address. Tickets are valid for one set time session only. 

*The Early Bird pricing will either run for 48 hours from 17th September at 10am or until 4500 tickets are sold. Once this limit has been reached (whether this be time or ticket quantity), the Early Bird pricing will end and the General Admission ticket price will be applied. The organisers reserve the right to alter or change this offer at any time. 

If you wish to split your payments, please select this option. You will pay 50% now and the balance must be paid by 31st October. If the balance is not paid by this date, your ticket will be released back into the system. Following your deposit payment, you will receive an email at the beginning of October with the link to pay your balance.

Please note that if you fail to successfully meet your payment plan deadlines, then you will not be entitled to a refund and any monies paid will be lost. 

You will receive your e-ticket once your final payment has been completed and both parts of the tickets must be presented to board the aircraft.

 

Cancelled Bookings 

Lost, Forgotten or Unused Tickets. No refunds can be made for any lost, forgotten or unused grotto tickets. If tickets are lost, please contact christmas@cotswoldairport.com prior to the date of the event, to allow time for reissuing.  


Cancellation or Abandonment of the Event 

The Event Organiser shall not be liable in respect of any loss or damage whatsoever arising from the abandonment, cancellation or postponement of the Event or any such eventuality. If an event is cancelled, customers will be issued tickets that can be used on another date, providing there is availability on an equivalent event running. If you are unable to use these reissued tickets, refunds will be issued. 


Disclaimer of Liability 

All tickets are sold subject to the Organisers reserving the right to refuse admission to the event to any person, or to withdraw permission at any time to remain at the event and shall not be required to give any reason for such action. Save for the death or personal injury caused by the negligence of the organisers or anyone for whom they are responsible, neither the Organisers of the event, nor any agent, employee or representative of these bodies accepts any liability for any accident, loss, damage, injury or illness to guests or any other person or property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever. 


Data Protection 

In accordance with the Data Protection Act, all data collected will be securely stored and shall not be kept for longer than 1 year. As part of our service to you, we would like to advise you that the details of your transaction will be retained on our database to provide a record of your transaction, and to facilitate the correct handling of this and future bookings. 

Your contact information may be used to provide further information about this event and other associated events from this organiser. However, you will have the opportunity to unsubscribe to any such communications. If you do not wish to receive further information, please email the organiser on christmas@cotswoldairport.com 


Northern Light Sessions 

Northern Light sessions are dedicated SEN sessions, where the Organiser is able to adapt the event to meet individual needs. This may mean that the session is quieter, has reduced lighting, reduced noise, or has any other alteration that is deemed necessary to ensure inclusion for all guests. Tickets for these sessions will need to be booked separately from a regular session. 

Free carer tickets are available for these Northern Light sessions only, supporting the session to provide the best possible guest experience. Proof of PIP or Disability Living Allowance will need to be provided as proof of eligibility. Please contact christmas@cotswoldairport.com to book a slot in one of these sessions. 


Adult Ticket Conditions 

Any persons aged 18 upwards is eligible for the adult ticket. These tickets include a mug of hot mulled wine and a mince pie, which cannot be exchanged for any monetary value. 


Child Ticket Conditions 

Any young persons under the age of 12 is eligible for the child ticket. Within this ticket, children will receive a gift from Father Christmas and a teddy, which they build onsite during the experience. 


Older Sibling Conditions 

Any young persons between the ages of 12-18 are eligible for the Older Sibling ticket. Guests booked under this ticket will not receive a gift. Children under the age of 18 will not be allowed to attend the grotto experience without an adult. 


Gift and Additional Gift Options 

Each child ticket will include a gift from Father Christmas and a teddy which the children will make in the Toy Workshop. This gift cannot be exchanged for any monetary value. 

Additional gifts for Adults, Older Siblings, and babies can be purchased on the ‘Check-in’ gate. These gifts will be the same as the Child Ticket receives.  


Guest Behaviour 

No member of staff should be required to deal with any customer who is showing threatening, abusive or violent behaviour. This can be via face-to-face, over the phone, or any other correspondence. The Organiser reserve the right to refuse entry to site, or remove members of the public from site who display these behaviours.  


CCTV 

The Organiser would like to make all guests aware that 24 hour CCTV is in use throughout the airfield and onboard the aircraft. This is to maintain the safety of all staff and members of the public, as well as ensuring the safety of the site. 


Dogs 

Whilst Cotswold Airport is dog friendly, no dogs, except for support/assistant dogs, are permitted onboard. This is in the interest of animal welfare.  


FAQ’s


ACCESSIBILITY  

Q.I use a wheelchair, can I come along? 

A. Due to the nature of the venue, wheelchair access is not possible. Guests must be able to climb approximately 2 flights of stairs to access the aircraft. Disabled access toilets are available in both AV8 restaurant and by the aircraft  

 

Q. Do you have disabled / blue badge parking? 

A. Yes, this will located close to the Grotto / B747, within the AV8 car park. 

 

Q. My child has additional needs, is the grotto suitable? 

A. We will be offering several Northern Light sessions. These will be dedicated to SEN and will have reduced visitor numbers. We are able to make the experience more inclusive. 

To book this, please contact us separately, as tickets for these sessions are restricted to those who need them. 

If you would like to attend a regular session, please ensure to let us know about any additional requirements during your booking process, which will assist us to help make your experience as magical as possible. 

 

 

TICKETS 

Can I buy tickets on the day? 

All tickets are to be booked in advanced. No tickets will be available to purchase on the day.  

 

We are unable to come along to the session we booked, can we exchange our tickets? 

All ticket sales are final. They cannot be amended, transferred or refunded. 

 

Do you offer refunds? 

No, we are unable to refund any tickets. 

 

When will I receive my tickets? 

Tickets will be emailed to you after booking completion. 

 

Can my child go in the grotto alone? 

No, all children must be accompanied by at least one adult. 

 

Why do adults have to pay? 

This grotto is a family friendly experience, for all to enjoy regardless of age. 

 

Do I need to print my tickets? 

Ideally, tickets should be printed for easy access on the day. However, if you are unable to print your tickets, please download them onto your smart phone, and we can scan them from your phone screen. 

 

I missed my time slot – can I join a later one? 

Whilst we understand delays and unforeseen events may happen, we cannot guarantee entry to the experience for any session apart from the one you are booked onto. We will make every effort where possible to accommodate you on the next available time slot, however, this may not be possible and is subject to availability. 

 

VENUE 

Q. Do I have to pay for parking? 

A. Parking is free and will be a maximum of a 5-minute walk to the Grotto.  

The grotto has a dedicated parking area, on the left of the aircraft. We ask that you please leave the AV8 car park for AV8 patrons and disabled parking only. 

 

Q. What do I do when I arrive? 

A. Please follow signs once onsite, directing you to the car park. Once parked, follow the pathway towards the aircraft. There will be a check-in desk for you to show your tickets, please only visit this desk at the time of your session. 

 

Q. Where are the toilets located? 

A. Toilets are located in AV8 and next to the aircraft. We recommend that you have been to the toilet prior to your time slot, as toilets are not available once onboard. 

 

Q. Who can access the venue? 

A. Only ticket holders will be granted access to the aircraft.  

 

Q. Do you have a charging point for electric vehicles? 

A. We do not yet have any electric car charging points. 

 

Q. Where is your nearest train station? 

A. Kemble train station is located just a 7-minute drive away from Cotswold Airport. We recommend booking a taxi in advanced. Walking from the station is not recommended due to the road being a fast ‘A’ road. 

 

Q. Will there be somewhere to leave a pushchair?  

A. We encourage all infants to be carried as pushchairs are unable to be used due to the nature of the venue. There will be a small area for pushchairs to be left at your own risk.  

 

Q. Can I bring my dog? 

A. Unfortunately, you cannot bring dogs along to the Grotto but well-behaved dogs on leads are welcome in AV8. Assistance and support dogs that have completed their training are welcome, guests must remain in control of their animal and stay on a lead or harness at all times.

Q. Where is the Grotto? 

A. The grotto is onboard ‘Negus’. This is a Boeing 747 that has been transformed into a magical Christmas wonderland. It is located at Cotswold Airport in between Cirencester and Tetbury in Gloucestershire. Postcode GL7 6BA. what3words ///tailwind.catching.shutting 

 

Q. How long will our grotto experience last? 

A. We recommend you’re ready to check in 15 minutes before your booked session. The experience will last approximately one hour.  

 

Lost property 

Please ensure that lost property is reported to a member of the staff team. If we locate any lost items, we will inform you to arrange collection. Any items that have not been claimed after a period of 14 days shall be disposed of. We are not responsible for the loss or theft of personal property, however incurred. 

 

Behaviour

CCTV 

24 hours CCTV is in use throughout the airfield and onboard the aircraft. This is used to maintain the safety of all staff and members of the public, and ensure the security of the site. 

 

Q. Can I take photographs? 

A. Yes, we encourage photographs to be taken. Please ask an elf if you would like a group photo taken. 

 

FOOD & DRINK 

Q. Will AV8 restaurant be open? 

A. Yes, families will have the opportunity to choose from a range of delicious meals including gluten and dairy free, vegetarian and vegan options. There will be a selection of cakes, ice cream and hot chocolate for all to enjoy.  

 

Q. Can I reserve a table for food? 

A. Tables cannot be reserved and are on a first come, first serve basis. All food is available to takeaway.  

 

Q. What are the opening times for AV8? 

Q. AV8 will be open for the duration of the grotto. If you have an end of day ticket and would like to visit the café, please visit before your session, as AV8 closes at the same time as the last slot of the day. 

 

Q. Do you accept cash? 

A. Yes, we take both card and cash payment in the café. 

 

Q. Do you sell alcohol? 

A. Yes, there is a variety of different alcoholic beverages available in AV8. Please note that we reserve the right to refuse sale or access to anyone who is intoxicated. Staff are trained to ask for ID if patrons look under the age of 21. Please do not be offended if you are asked for ID.
